The Situation
Almost every adverse decision, from an Amazon seller suspension to a state board revocation to an SSA benefits denial, comes down to a documentation contest. You will be asked to prove what happened, when, with whom, and what was said. The other side, whether it is a platform's policy team, an administrative law judge, or an insurance adjuster, will be operating from their own records. If your records are worse than theirs, you lose by default, even when you are right on the facts. Most people start documenting too late, after they have already had six conversations they cannot reconstruct, lost two emails to inbox archiving, and forgotten the name of the first rep who promised them a callback. The damage is rarely fatal, but it is always avoidable. Start the file the same day the bad news lands, before you do anything else, and update it the same day as every interaction going forward. The other thing nobody tells you: the paper trail is for you as much as for the case. Eight weeks in, you will not trust your own memory of what was said in week one. A clean record protects you from gaslighting by reps who 'have no notes of that call', and it protects you from your own catastrophizing about how badly you handled something. The page is calmer than the panic.
What to Do
Create a single folder structure today
Make a folder called 'Case File - [Account/License Name] - [YYYY-MM-DD opened]'. Inside it, create exactly these subfolders: 01-Original Notice, 02-My Submissions, 03-Their Responses, 04-Call Logs, 05-Evidence, 06-Correspondence, 07-Receipts and Costs, 08-Drafts. Use the same structure in Google Drive, Dropbox, or OneDrive. Mirror it on a local drive as well. Cloud-only files have disappeared in account suspensions, especially when the suspending platform is the same company that hosts your storage.

Use full-page screenshots, not cropped ones. The URL bar, the date and time on your system clock, and the account name should all be in frame. On Windows, Snipping Tool with the 'window' mode captures the full window. On macOS, Cmd+Shift+4 then Spacebar captures a full window with chrome. For long pages, browser extensions like GoFullPage produce one tall PNG. Name files like '2026-05-25 14-33 Amazon performance notification page 1.png'. Sorted alphabetically they will be in chronological order forever.
Keep a running call log in one document
One document, one row per call. Columns: Date, Start time, End time, Phone number called, Department, Rep first name and any badge or ID, Case or reference number provided, What I asked, What they said verbatim if possible, What was promised, Promised follow-up date. Write the row during or immediately after the call, not from memory at the end of the day. After every call, send yourself a recap email from the same call: 'Just called CFPB at 1-855-411-2372 at 11:14am, spoke to rep Marcus, case ID 250525-1184, told 15 business day response.' That email is timestamped by the email server and harder to challenge than a personal notes file.
Send important things by certified mail with return receipt
For formal appeals, license board responses, IRS or SSA letters, and any deadline-sensitive filing, USPS Certified Mail with Return Receipt (the green card, Form 3811) is the standard. Cost is about $5 to $9. It produces a tracking number, a delivery confirmation, and the signature card comes back to you. Keep the green sticker stub stapled to your copy of the document, and scan both into folder 06. If you send by FedEx or UPS, save the tracking confirmation and the signature image they generate. Email reads as informal in most administrative proceedings; mailed proof reads as official.
Export and back up emails outside the suspended platform
If your account is with the same company you are fighting (Amazon, Google, Apple, PayPal), do not assume you will keep access to the email history. Forward every relevant message to a personal email on a different provider. Better, export the full mailbox: Gmail has Google Takeout, Outlook has Export to PST, Apple Mail has Mailbox > Export Mailbox. Do this in week one. Accounts under review sometimes lose access to historical messages with no notice.
Capture context, not just the bad notice
The suspension letter is one piece of evidence. The story around it matters too. Save the last 90 days of account performance dashboards, your sales or hours records, your previous communications with the platform showing you were in good standing, customer reviews, training certificates, supervisor commendations. If the dispute is about a single transaction or incident, capture the full transaction record (order ID, IP address, device, shipping address, customer messages) and the surrounding transactions to show pattern. Adjudicators are pattern-matching humans. Give them a clean pattern.
Make a timeline document and update it weekly
A one-page Word or Google Doc, reverse chronological, plain language. 'May 25, 2026: Suspension notice received via email at 8:47am. May 26: Called support at 10:12am, told to wait 48 hours. May 28: Submitted POA via Seller Central. June 11: Status changed to Under Review.' This is your friend at week 12 when a lawyer or escalation rep asks 'walk me through what happened' and you can hand them one page instead of a 400-message inbox.
Track every dollar the case costs you
Lost revenue, lawyer consultations, certified mail fees, copies, mileage to hearings, lost wages from missed shifts, expert opinion fees, document fees from state archives. Keep receipts in folder 07. Some of this is recoverable in successful appeals or settlements (especially in CFPB-mediated disputes, EEOC claims, and license appeals with prevailing-party fee provisions). All of it is at minimum a tax consideration. None of it is recoverable if you cannot prove it.
What to Avoid
Recording calls without checking your state's law
Eleven states require all-party consent to record (including California, Florida, Illinois, Massachusetts, Pennsylvania, Washington). The other 39 are one-party consent. If you are in a two-party state, you must tell the rep at the start of the call and get audible consent, or the recording is inadmissible and possibly criminal. Written summaries sent to yourself by email are safer and almost as useful.
Editing original documents
Never modify, redact, or annotate an original. Make a copy first. Annotated copies go in a separate 'working' subfolder. Tampered originals destroy credibility instantly, even when the tampering was innocent.
Trusting platform messaging for the long record
In-platform messages (Amazon Seller Central, eBay Resolution Center, Uber driver app) can disappear when an account is fully closed. Screenshot or export every message thread. Do not assume you will be able to come back later.
Storing everything in one place
Cloud account compromise, hard drive failure, or laptop theft will end your case. Keep the file in at least two places: a primary cloud folder and a local backup, or two different cloud providers. External thumb drive in a drawer is fine as the third copy.
Hand-written notes only
Notebooks get lost, water-damaged, or thrown out by accident. Type up handwritten notes the same day, save them in folder 04, and treat the notebook as a backup.
